How we integrated our MSP platform with Odoo

How we integrated our MSP platform with Odoo

We run eMerge itself on Odoo — not as a case study we built for marketing, but because we hit the same wall our clients hit: our managed services platform (ticketing, RMM, billing) and our ERP were two separate sources of truth, and every month someone was reconciling them by hand. Here's what we actually built, and what we'd tell anyone attempting the same thing.

The problem we were solving

Our MSP platform tracks tickets, device monitoring, contracted hours and billable time. Odoo runs our invoicing, recurring contracts, project costing and accounts. Before integration, billable hours logged in the MSP platform had to be manually transferred into Odoo every billing cycle — a task that was tedious, error-prone, and got worse as our client base grew.

The two systems needed to agree on one thing without a human in the middle: what's billable, to whom, and has it already been invoiced.

Why we didn't just switch everything to one platform

The tempting answer is "just do everything in Odoo" or "just do everything in the MSP tool." We rejected both. MSP platforms are purpose-built for technical operations — ticket routing, SLA tracking, device monitoring — in ways a general ERP will never match without heavy customisation. Odoo is purpose-built for finance, contracts and reporting in ways an MSP platform will never match either. Forcing one tool to do both jobs badly is worse than integrating two tools that each do their job well.

What we built

A one-way sync for billable data. Contracted hours, ad-hoc billable time, and device counts flow from the MSP platform into Odoo on a scheduled basis via API, landing as draft invoice lines against the correct customer and contract. Nothing posts as a final invoice automatically — a human still reviews before anything goes out, which was a deliberate decision, not a limitation.

Customer and contract mapping kept in sync both ways. When a new client is onboarded in Odoo, their record and active contract details push to the MSP platform automatically, so technical staff always see current contract status without logging into two systems.

Reconciliation reporting. A weekly report flags any billable activity in the MSP platform with no matching draft invoice in Odoo, and vice versa — the safety net that catches the sync failing silently rather than loudly.

What made this harder than it looked on paper

API rate limits and pagination. Both platforms' APIs have practical limits on how much data you can pull per call. Naive integrations that work fine in testing with ten clients start failing silently at scale. Building in proper pagination and retry logic from day one saved us a painful production fix later.

Deciding what "the source of truth" means for each data type. Customer contact details live in Odoo. Device and asset data lives in the MSP platform. Contract terms live in Odoo but need to be visible in the MSP platform. Getting this ownership model wrong — even briefly — creates the exact duplicate-entry problem the integration was meant to remove.

Idempotency. If a sync job fails halfway and reruns, it must not create duplicate invoice lines. This sounds obvious until you're debugging why a client got billed twice for the same block of hours.

What we'd tell anyone attempting this

Don't sync everything — sync what actually needs to be shared, and be explicit about which system owns which field. Build reconciliation reporting before you trust the sync, not after something goes wrong. And keep a human review step on anything that touches money, at least until the integration has a real track record.

Frequently asked questions

Can this pattern work with other MSP or PSA platforms, not just ours?

Yes — the approach (one-way sync for billable data, clear field ownership, reconciliation reporting) applies to most PSA-to-ERP integrations, provided the source platform has a usable API.

Does this require Odoo's Custom plan?

Yes. API access for this kind of integration requires Odoo's Custom subscription tier, not Standard.

How long did this take to build?

The core sync was a matter of weeks; the reconciliation reporting and edge-case handling — duplicate prevention, retries, contract mapping — took longer, and is the part that actually determines whether an integration is trustworthy day to day.

Do you offer this as a service for other MSPs or businesses running two systems?

Yes — this is exactly the kind of integration work we do for clients running Odoo alongside a separate operational platform.
